In this article, I'll share 15 tried and tested list-making hacks that will help you say goodbye to overwhelm and hello to success. From prioritizing your tasks with the Eisenhower Matrix to breaking down big tasks into smaller steps, these hacks will help you work smarter, not harder.
1. Prioritize your tasks with the Eisenhower Matrix
The Eisenhower Matrix is a simple yet effective tool for prioritizing your tasks. It helps you identify which tasks are urgent and important, and which can be delegated or eliminated. Here's how to use it:
Divide your to-do list into four quadrants: Urgent and important, Important but not urgent, Urgent but not important, and Neither urgent nor important.
Prioritize your tasks based on their quadrant. Start with the Urgent and important tasks, then move on to Important but not urgent tasks, and so on.
Tackle your tasks one by one, starting with the most important and urgent tasks first.
I've created a free printable pdf for you to get started prioritizing your tasks. You can download it here.
2. Use visualization techniques like Kanban boards
Kanban boards are a visual way to track your tasks and progress. They use a system of cards and columns to help you stay on top of your workload. Here's how to create your own Kanban board:
Create three columns: To Do, In Progress, and Done.
Write each task on a separate card or Post-it note and place it in the To Do column.
Move each card to the In Progress column as you work on the task.
Move each card to the Done column when the task is completed.
There are also quite a few apps that can help you accomplish these tasks in a digital format if that is what you prefer. At The Virtual Desk Agents, we use Trello to create lists and cards following the Kanban technique. I especially like the automation in Trello that allows one click to mark a card complete and move it to the appropriate list.
3. Break down your tasks into smaller steps
Breaking down your tasks into smaller, more manageable steps can help you feel less overwhelmed and make progress more quickly. Here's how to do it:
Start with a big, vague task on your to-do list.
Break it down into smaller steps. For example, if your task is "Write a blog post," your smaller steps could be "Research topic," "Outline post," "Write introduction," and so on.
Add these smaller steps to your to-do list and tackle them one by one.
4. Schedule your tasks using time-blocking
Time-blocking is a technique for managing your time more effectively. Here's how to use it:
Divide your day into blocks of time, such as 30-minute or 60-minute intervals.
Assign tasks to each block of time based on their priority and estimated time to complete.
Stick to your schedule as much as possible, but allow for some flexibility if unexpected tasks come up.
Time-blocking literally kept me from going insane during the lockdown with the pandemic. Especially when it came to allowing flexibility for unexpected tasks. I created this template when I started time blocking and I'd love for you to check it out if you are just getting started with the concept of time blocking. 5. Use a virtual assistant to outsource tasks as a successful Mompreneur
As a mompreneur, you have a lot on your plate. If you're feeling overwhelmed, it may be time to consider outsourcing some tasks to a virtual assistant. Here are some tasks a virtual assistant can help with:
Stock Image Sourcing
Research
And so much more...
The Virtual Desk Agents specialize in social media management and email marketing but our services extend to all the tasks above and more. Contact us today to get started with virtual assistant services.
6. Make use of technology with list-making apps
List-making apps can be a game-changer for busy mompreneurs. They allow you to create and manage your to-do lists from anywhere, at any time. Here are some popular list-making apps:
Todoist
Any.do
Wunderlist
iPhone Apple Reminders App
Google Tasks
Google Keep
7. Use a notebook or planner for physical lists
If you prefer a more traditional approach to list-making, consider using a notebook or planner. They allow you to physically write down your tasks and cross them off as you complete them. Plus, they're portable and don't require an internet connection.
Check out this notebook that I absolutely love from Amazon. I use it daily for taking quick notes and decluttering my mind. I love the color-coded sections so I can separate notes for work, house projects, kids, and more.
I also follow the practice of writing in a physical planner weekly. This may be overkill for some people but it helps to get a few of those lingering thoughts out about the week ahead that can sometimes prevent me from sleeping. And because I am a bit of a spiritual junkie, I love this planner that incorporates the Law of Attraction. Check it out here on Amazon.
8. Incorporate self-care into your list-making process
Self-care is essential for mompreneurs to avoid burnout and stay productive. Here are some self-care activities to incorporate into your list-making process:
Take breaks throughout the day to stretch, move your body, or meditate.
Schedule time for hobbies and activities you enjoy.
Take your dog for a walk or go for a quick stroll alone
Get enough sleep and prioritize rest.
9. Celebrate your accomplishments and progress
It's important to acknowledge and celebrate your accomplishments and progress, no matter how small they may seem. Here are some ways to celebrate:
Treat yourself to a favorite snack or drink.
Take a break and do something enjoyable.
If you can, buy yourself something new like a pair of yoga pants or a new pair of sunglasses (these two are on my reward list for whenever I want to celebrate. I mean you can never have too many yoga pants or sunglasses in my opinion.)
Write down your accomplishments and progress in a journal.
10. Avoid overloading your to-do list
It's easy to get carried away and overload your to-do list, but this can lead to overwhelm and burnout. Here are some tips to avoid overloading your to-do list:
Limit your daily tasks to 3-5 important items.
Prioritize your tasks and delegate or eliminate less important ones.
Be realistic about how much you can accomplish in a day.
11. Take breaks and practice mindfulness
Taking breaks and practicing mindfulness can help you stay focused and productive. Here are some mindfulness techniques to try:
Take deep breaths and focus on your breath.
Use a meditation app, such as Headspace or Calm.
Take a walk outside and focus on your surroundings.
I am BIG on self-care. I try to get in quality time with "ME" as much as possible. I set timers and schedule breaks throughout the day to spend a few minutes outside; whether watering my plants, taking my dogs for a quick walk, or just sitting in my rocking chair on the porch, it's so important to take breaks and aim to get outside as much as possible.
I also enjoy listening to guided meditations with Gabby Bernstein or on my Headspace app, guided journaling (loving this journal right now on Amazon), pulling affirmation cards (these positive affirmation cards are awesome), and even going for a massage when I really need some R&R. What are some things you do for self-care and to practice mindfulness? I'd love to know in the comments below.
12. Use lists to declutter your mind and reduce stress
Lists aren't just useful for managing tasks - they can also help declutter your mind and reduce stress. Here are some list-making ideas to try:
Write down your worries and concerns to get them out of your head.
Make a gratitude list to focus on the positive things in your life.
Write down your goals and dreams to give yourself clarity and motivation.
13. Eliminate distractions and focus on one task at a time
Distractions can derail your productivity and lead to procrastination. Here are some ways to eliminate distractions and stay focused:
Turn off your phone or put it on silent/focus.
Close unnecessary tabs and apps on your computer.
Use noise-cancelling headphones or play background music to help you focus.
Whenever I really need to focus on a task playing coffee shop sounds in the background really helps me to stay focused.
14. Adjust your list-making system as needed
Everyone's list-making system is different, so don't be afraid to adjust yours as needed. Here are some things to keep in mind when adjusting your system:
Be flexible and open to trying new techniques.
Don't be afraid to eliminate or modify tasks or systems that aren't working for you.
Keep track of what works and what doesn't, so you can make informed decisions about changes.
Conclusion
In conclusion, as a mompreneur, you have a lot on your plate, and it can be overwhelming to manage everything on your own. However, with these list-making hacks, you can say goodbye to overwhelm and hello to success. By prioritizing your tasks, outsourcing where necessary, and using list-making apps or physical lists, you can increase productivity and reduce stress. Remember to incorporate self-care and celebrate your progress, while also adjusting your system as needed. With these tips, you'll be well on your way to achieving your goals as a successful mompreneur.
